About the role
About the opportunity As the Executive & Administration Officer – Sydney Quantum Academy, you will provide administrative support for SQA’s governance committees. Performing a central role within the SQA team, you will enable the achievement of strategic objectives by leading key administrative functions and maintaining excellent communication and relationships with key stakeholders
Your key responsibilities will be to:
- work within a dynamic team, reporting to Chief Operating Officer
- oversee the management of financial processes for the SQA, including procurement, invoicing, acquittal of expenses in Concur, approvals and signing
- co-ordinate and provide secretariat support to the SQA Board, subcommittees and working groups
- provide professional executive support services to the SQA and its CEO ensuring highly proficient coordination and execution of critical activities and tasks
- partner with SQA’s accommodation provider(s) to confirm and prepare appropriate space and facilities for the SQA team and other stakeholders
- develop local policy and procedures for the SQA, ensuring compliance with University of Sydney administration policies and procedures
- proactively manage record keeping and reporting for the work area.

About you
- tertiary qualifications and/or relevant work experience in a related field
- demonstrated experience providing secretariat support to aboard or senior committee
- experience managing a diverse group of key internal/external stakeholders on small, large, or complex projects
- proven ability to research, interpret, draft, implement and provide advice on complex legislation and procedures
- advanced computer skills, including Microsoft Office suite, with executive diary management experience
- excellent time and workload management skills with demonstrated ability to prioritise effectively and manage multiple tasks
- financial management experience, including budget management and the use of financial systems
- previous executive assistant experience in the higher education/tertiary sector, not-for-profit, start-up or at a complex organisation is desirable.
