What will your role be?

As an Executive Assistant (EA), you’ll play a crucial role in supporting two senior leadership team members and ensuring that operations run smoothly and efficiently. You’ll manage multiple competing priorities, maintain executives’ schedules, coordinate key business travel, and act as a key liaison for internal and external stakeholders. Your proactive approach and ability to act on sound judgment without waiting for instructions will be essential to keeping everything running seamlessly. The role requires someone who thrives in a fast-paced, demanding environment. The intensity of the schedules requires you to stay ahead, anticipate needs, and manage priorities without delay. You’ll be expected to quickly establish rapport and understand your executives' styles, routines, and preferences, ensuring you're always planning ahead on their behalf.

Additionally, you’ll coordinate and prepare agendas, logistics for meetings, as well as key materials for presentations, reports, and more.

What does this role look like for you?

• Proactively manage and organize complex executive calendars and meetings for two executives • Coordinate international and domestic travel, ensuring smooth logistics • Prepare, organize, and coordinate key materials for meetings, presentations, reports, agendas, and meeting logistics • Build and maintain relationships with key internal and external stakeholders • Provide high-level administrative support, including document management and event coordination • Identify potential issues before they arise and take autonomous action to implement solutions promptly • Build collaborative and positively assertive rapport with peers, leadership teams, and the wider business community to effectively manage requests for executives' time What will you bring to the table?

• Proven experience in an Executive Assistant or similar administrative support role • Exceptional organizational skills, with the ability to handle multiple tasks effectively • High proficiency in Microsoft Office Suite, Concur, and Coupa platforms, particularly in calendar and email management • Strong executive-level communication capability and sensitivity, interacting regularly with external EAs of significant ASX-listed companies and their executives • Proactive, positive, and solutions-focused approach, able to work in a fast-paced environment without waiting for instructions • Proven ability to quickly identify issues and take independent action to resolve them • Expert in managing competing priorities, ensuring the executives' needs are met while keeping schedules intact
