The Opportunity: As the Committee Secretary you will work within the Governance team providing support to the Schemes and Applications team. The Schemes and Applications team is responsible for the Scheme Rules, Compliance, Governance and Onboarding for all the three schemes.
Ideally you will bring 3 years’ experience having worked in a similar role within the payments industry where you have strong knowledge of providing administrative support and managing meetings.
The core responsibilities of the role will include:
- Support, coordinate and manage committee members to complete assigned actions within agreed timeframes.
- Provide support to internal stakeholders including preparation of agenda, meeting materials and minutes of meeting.
- Distribute meeting materials to agreed internal and external stakeholders.
- Coordinate and schedule committee meetings, communicating with members to track attendance.
- Ensure effective guidance and support to the organisation in maintaining existing scheme rules.
- Provide support to internal working groups.
- Maintain the upkeep of external member facing portals
- Assist in publishing documents to external member facing portals
- Being a point of contact for committee members
The capabilities we’re seeking are:
- At least 3 years working in the payments industry with a responsibility for committee management or similar.
- Experience in coordination and organising internal stakeholders to enable collaboration and efficient communication as well as minute taking.
- High level of accuracy in managing records, ensuring compliance, and following up on action items.
- Proficiency in reviewing governance documents, policies, and procedures for completeness and consistency.
- Familiarity with database management, tracking systems, and document control systems used for governance documentation.
- Strong written and verbal communication skills to interact effectively with senior management, teams, and external stakeholders.
- Ability to manage multiple tasks and coordinate across departments.
- Experience in developing and maintaining schedules, agendas, and documentation for governance meetings and initiatives.
